3.31 Travel Reimbursements for Job Applicants

This policy outlines eligibility and procedures for reimbursement of travel expenses to candidates invited to campus for interviews. University hiring department will arrange for candidate accommodations during interview period in accordance with university procedure.

interview for full-time faculty candidates, director level and above staff, and some hard-to fill positions with approval from Human Resources (Max of 3 if traveling from out of state)

If flying, candidate will need to arrange for coach air travel; rental car, if desired

 

If driving, candidate will need to arrange for any accommodations along the way

Meals during travel period ($42/day inc. tax & tips)

Accommodations & meals during interview period

 

  1. Prior to making commitments for reimbursement of any travel costs, initiate contact with Human Resources for budgetary approval.
  2. All travel arrangements should be reserved in advance to obtain the most favorable rates.
  3. Original, itemized receipts are required to receive reimbursement for all expenses – including airfare, hotel, and individual expenses.
  4. Non-reimbursable expenses include:
    • Costs incurred by unreasonable failure to cancel transportation or lodging reservations;
    • Fines for automobile violations;
    • Lost or stolen tickets, cash, or property;
    • Damage to property;
    • Additional travel expenses incurred when an itinerary is altered to accommodate personal affairs (e.g. airlines change fee);
    • Expenditures for alcohol;
    • Childcare expenses; and
    • Other expenses not directly related to the performance of the travel assignment.
  5. In-State Candidates may be reimbursed for mileage over 75 miles. A printout from an online mapping site will serve as official documentation of the route. Hotel accommodations may be made for one night depending on the distance travelled and the time of interview upon approval from Human Resources.
